purchase additional training as needed.
If
I switch to your software, will I have to re-enter
all my patient records from my old system?
No.
Data conversions are always available. We can convert
your data from virtually any system platform such
as DOS, Windows, Unix, etc.

Frequently Asked Questions on the
Installation Process
Q: What is the process and timeline from the point
the signed order is received?
A: Once your Sales Rep gets the order signed and
funded, it goes to our accounting department for
processing. Once processed on the accounting side,
the order is forwarded on to the Project Coordinator,
who reviews the information, assigns a Launch Manager
to your account, confirms that the account is active,
has the Pre-Install package sent to your office and
notifies your Sales Rep that the Launch Call can
be scheduled.
Q: What can I expect to take place on a Launch Call?
A: The Launch Call is a time for you to meet your
Launch Manager, who will be coordinating the installation
with your office staff. They, along with the Compulink
Sales Rep and any of your staff members you would
like present, will review your invoice and discuss
our process and timeline from the launch call through
your staff training. You will also be introduced
to other Compulink employees you will be working
with throughout this process (i.e. your conversion
programmer if you have purchased a data conversion,
or our IT department if you have purchased hardware
from us or are setting up a WAN).
Q: When will the software be installed?
A: The software is usually installed within two
(2) weeks after the launch call. Once the launch
call has been completed, the launch manager will
follow up to set an appointment with whoever will
be loading the software in your office.
Q: What is the timeline for Onsite Implementation
with Table Set-Up?
A: Onsite Implementation with Table Set-Up usually
takes place approximately four (4) weeks after the
Launch call and Training takes place approximately
six (6) weeks after the Onsite Implementation.
Q: What is the timeline for Onsite Implementation
without Table Set-Up?
A: Onsite Implementation without Table Set-Up usually
takes place approximately four (4) weeks after
the Launch call and Training takes place approximately
six (6) weeks after the Onsite Implementation Visit.
With this option, the office must have completed
all tables before the trainer’s arrival so
be sure to consider this when scheduling your training
dates.
Q: I am concerned about an active Internet connection
and receiving/downloading harmful files.
A: Compulink has implemented all possible solutions
to prevent receiving or transmitting viruses. However,
new viruses are being created everyday. Please make
sure that your Anti-Virus program is working and
updated on a regular basis.
Q: Do I need a Firewall?
A: Firewall solutions are recommended by Compulink.
Anytime a computer is connected to the Internet,
it is vulnerable to attack by hackers, worms, trojans,
spyware and so on. You are more vulnerable if you
have a high-speed connection, but if you use dial-up,
you still need a Firewall.
Q: What is the timeline for WebEx Implementation
with Table Set-Up? A: WebEx Implementation with Table Set-Up usually
takes place approximately two (2) weeks after the
Launch Call. Training usually takes place approximately
six (6) weeks after the deadline given to you by
the trainer for receipt of your table setup information.
Note that the faster you are able to send your table
setup information to the trainer the faster they
will be able to complete your table setup. Table
setup MUST be completed prior to training.
Q: What is the timeline for WebEx Implementation
without Table Set-Up?
A: WebEx Implementation without Table Set-Up usually
takes place approximately two (2) weeks after the
Launch Call. Training usually takes place approximately
six (6) weeks after the WebEx Implementation is completed.
With this option, the office must have completed
all tables before the Trainer’s arrival onsite
or prior to beginning their WebEx Internet training.
Be sure to consider this when scheduling your Training.
Q: What is WebEx training?
A: WebEx training is done exclusively over the Internet
and requires a high-speed connection. For clients
choosing this option, Training usually takes place
approximately 6-8 weeks after the Launch Call or
approximately six (6) weeks after the deadline given
to you by the trainer for receipt of your table setup
information if you have a Webex Implementation or
approximately six (6) weeks after the On-Site implementation
if this is what you have chosen. Note that the faster
you are able to send your table setup information
to the trainer the faster they will be able to complete
your table setup. Table setup MUST be completed prior
to training.
Q: What is On-Site training?
A: On-Site training is done in the clients’ office.
For clients choosing this option, Training usually
takes place approximately 6-8 weeks after the Launch
Call or approximately six (6) weeks after the deadline
given to you by the trainer for receipt of your table
setup information if you have a Webex Implementation
or approximately six (6) weeks after the On-Site
implementation if this is what you have chosen. Note
that the faster you are able to send your table setup
information to the trainer the faster they will be
able to complete your table setup. Table setup MUST
be completed prior to training.

Q: What is included in a Patient Demographic conversion?
A: A Patient Demographic conversion includes general
patient information such as the name, address, phone
number, social security number, date of birth, gender,
referring physician, recall date and reason and account
responsible name, address and phone number.
Q: What is included in an Insurance Information
conversion?
A: An Insurance Information conversion includes
patient insurance information such as the insurance
company name, address, phone number, insured name,
address, insured ID, group number, group name,
effective date, financial class
Q: What is included in an Appointment Schedule conversion?
A: An Appointment Schedule conversion includes the
date, time, reason, doctor, location, remarks, reason
code, status and appointment added by for each appointment.
Q: What is included in a Medical Records conversion?
A: A Medical Records conversion, which requires
the Medical Records module, includes medical record
data converted from the client’s existing medical
records into Compulink’s Medical Records fields.
You will be required to list all fields desired and
assist the Programmer with mapping the fields into
the appropriate Compulink fields.
Q: What is included in an Rx Data conversion?
A: An Rx Data conversion includes spectacle Rx and/or
Contact Lens Rx information such as, Rx date, dispensed
date, sphere, cylinder, axis, prism, add, near VA,
PD, seg. height, base curve, decentration, eye size,
bridge size, temple size, multifocal type, lens material
and other information.
Q: What is included in an Inventory Data conversion?
A: An Inventory Data conversion includes the stock
number, type, manufacturer, name, category, vendor,
color, quantity, cost, retail, wholesale, eye size,
bridge size and other similar information.
**Please note that on all Ledger conversions, the
outstanding balance on all patient accounts will
be converted as a patient balance only, unless an
Insurance conversion is also purchased. If the Insurance
conversion is also purchased, the balance will reflect
the amount expected from the patient and the amount
expected from the insurance.
Q: What is included in a Ledger Forward Balance conversion?
A: This conversion is each patient’s outstanding
balance converted into one Balance Forward Line on
the ledger. If an Insurance conversion is also purchased,
the conversion will include two lines per patient
(Patient Balance Forward and Insurance Balance Forward).
Q: What is included in a Ledger Basic Financial
History conversion?
A: A Ledger Basic Financial History conversion includes
charges and payments with post date, service dates,
description, amounts, adjustments, credits, units,
diagnosis, CPT codes, modifiers, TOS, POS
**To include additional details on the above transactions,
for an additional fee, you may also add the conversions
below to the Basic Ledger conversion (this depends
on the availability of data in the old software).
Q: What is included in a Ledger Insurance Charge
Bill/Pay History conversion?
A: In addition to the basic information listed above,
this conversion includes billing and payment history
for the ledger transactions – insurance company
billed dates, paid dates, billed, paid and adjusted
amounts, and amount toward deductible.
Q: What is included in the Claim Data conversion?
A: This conversion will include the basic claim
information for each charge converted which typically
is the claim date, diagnosis codes, facility services
rendered, referring physician, authorization number,
onset of illness and box 19 notes.
Q: What are the typical conversion steps?
A: Depending on the operating system and backup
used, you will be required to provide us with either
a backup tape or print capture (printing reports
to a file). The conversion programmer will be included
on the launch call and will let you know at that
time which method will be used with your office.
An initial backup is sent in so that the programmer
can assess the data, and confirm which pieces of
information are available for your conversion. After
the initial test conversion the programmer will give
your office a target date for when final conversion
information needs to be delivered to Compulink. The
final conversion will be run and then downloaded
to your office by the programmer one day before training
begins.
Q: Can there be issues obtaining data via a back-up
or print capture?
A: Back-up…
There are thousands of back-ups and just as many
different types of back-up software. Therefore, there
is a chance we may not be able to read your back-up.

is able to restore data from these media, it is possible
that the data itself will be proprietary or encrypted
by the originating software package, and may therefore
not be usable for conversion purposes. See Print
Capture (below) for alternatives.
Print Capture…
Conversion by Print Capture is the process of taking
information from a report printed from your existing
software. Creating a conversion from this format/in
this manner restricts us to converting only the information
included in the reports you are able to extract from
your current program. Therefore, it is vital that
whomever is responsible for supplying Compulink with
this information knows how to run detailed reports
from your current software.
There could be issues with a print capture caused
by one or more factors:
poor or indirect connection between station
and cable
use of the system while data is being captured
running Windows in the background during the
print capture
The result of these problems will be missing characters
at random points in the data. These missing characters
could be something important, such as part of a phone
number, social security number, etc. These missing
characters cannot be determined and/or substituted
by the programmer; if the file is incomplete, the
data that is converted into Compulink will be incomplete
in the same manner.
Please also keep in mind that converting from a
print capture can be extremely time consuming and
requires your staff’s interaction (and use
of a workstation) while they are running the reports.
